This position will be a VNA Health Group Employee Assigned to

Healthy Greater Newark Medicaid Accountable Care Organization & Greater Newark Healthcare Coalition

 

We are currently looking for a part time (20 weekly hours/day shift) Administrative Assistant to join our Healthy Greater Newark Accountable Care Organization (HGN-ACO) & Greater Newark Healthcare Coalition (HNHCC) teams. The Administrative Assistant with the Executive Director shall support the daily affairs of the Healthy Greater Neward Accountable Care Organization and  a sister organization, Greater Newark Healthcare Coalition.  Daily work shall involve scheduling meetings, responding to emails and telephone calls, and drafting meeting minutes, memos, and presentations as well as supporting program, staff and peers.  The Adminsitrative Assistant shall perform taks associated with supporting organizational programs, staff and partners.

 

This position will be based in West Orange, NJ (Essex County)

 

Responsibilities

  1. Supports organization’s mission by striving for excellence in all aspects of their job with a focus on positive interpersonal relationship with co-workers
  2. Handle day-to-day communications for the Executive Director and managerial staff
  3. Operate as the organization's gate-keeper: answer calls, take messages, schedule meetings, write letters, prepare draft press releases; open and sort mail
  4. Respond to email inquiries and/or route them to the Executive Director
  5. Take meeting minues for the Executive Director's review
  6. Proofread reports and written documents for grammar, punctuation and spelling errors
  7. Create draft communications for the Executive Director's review
  8. Work with Executive Director and Part-Time Controller to maintain some aspects of the budget to track accounts payable and receivable
  9. Recruit, coordinate and educate volunteers, interns and fellows
  10. Create, maintain and update databases as needed
  11. Maintaine electronic and paper filing systems
  12. Basic bookkeeping responsibilities: track income, make bank deposits, assist with monthly bank reconcilliation and monthly bank statements for Executive Director review and inclusion in board meetings; generate checks for vendors and executive review; update financial records
  13. Keep the office organized and running efficiently; oversee office supplies/ordering/keeps track of inventory and interviews new vendors
  14. Adheres to the organization’s policy in regards to absenteeism and appearance
  15. Omission of specific duties does not exclude them from this position if the work is similar, related or a logical assignment for this position

Qualifications

  1. High School Diploma/GED required; Associate's Degree with technology/business classes or certification preferred
  2. 3-5 years work related work experience preferred
  3. Strong computer skills with proficiency in MS Office products; proficiency using office equipment
  4. Strong organizational skills
  5. Excellent customer service and interpersonal skills
  6. Excellent verbal and written communication skills 

Working Conditions/Physical Demand: Business Office Environment with phone and computer use; may be required to travel outside to business comumunity locations as needed
